Make supporting records retrievable
Link records to the driver and meet submission duties.
Identity, date, location, and time
A supporting document ordinarily needs a driver identity or vehicle that can be linked to the driver, plus date, location, and time. A receipt without a driver name can still be linked through vehicle and dispatch records.
When fewer than eight fully qualifying documents exist, limited rules allow certain missing-time records. Check those conditions; an untimed receipt does not by itself prove when work occurred.
Evidence must be linkable to the driver and available when required.
Submission and inspection duties
- Submit supporting documents within thirteen days of the relevant day or receipt of the document, whichever is later.
- Carriers retain and organize the required records so they can be matched to logs.
- Drivers provide supporting documents in their possession to an authorized officer on request.
- Do not alter or manufacture documents to match a preferred log.
Check a mismatch before editing
Pause and apply
A fuel receipt overlaps off-duty time. Should the log immediately be changed?
Read the reasoning
First check who performed the task and what the receipt’s time represents. Use the evidence to establish the facts, then choose a permitted correction.
